The team you will be a part of

The Administrative Support team provides secretarial and administrative support for one or more of the organization's executives, requiring discretion, confidentiality, a good understanding of technical and business vocabulary, and a detailed knowledge of the organization's operations, policies, procedures and people. Schedules, guides and manages the key engagements of the leader. Has the ability to clearly articulate communication both internally as well as externally.

This role in summary

We are looking for a talented and versatile Executive Assistant to join our Italian Market Strategic Division in our offices in Pero.

Your responsibilities will include

  • Provide secretarial and administrative support primarily to the General Manager of the organization and to other members of the management team.
  • Handling of high confidential documents and access to highly discretional information.
  • Organize travel schedules and prepare itineraries and all logistics involved (hotels, transport, arranging visas if applicable, etc.).
  • Develop and maintain good working relationships with all support functions (e.g. fleet, facility, etc.) and Central EMEA colleagues.
  • Draft correspondence as required.
  • Maintain a smooth operation of the General Manager's office in his absence and with the Management Team.
  • Organize and coordinate internal/external meetings.
  • Collect signatures for legal purposes and hold responsibility for proper filing.
  • Point of contact for the majority of our commercial contracts and legal checks in addition to trade partners and clients.
  • Management of expense reports.
  • Provide competent, efficient, high-level support for senior management, using initiative to address matters that do not require the full attention of the senior managers.
  • Provide a point of contact, for both internal & external contacts, in the absence of senior management.
  • Active participation in reviewing documents (e.g. powerpoint presentations, word documents, etc).

Minimum requirements

  • 5-7 years of experience in similar roles, with exposure to Senior Managers and high level stakeholders 
  • Italian & English language proficiency needed
  • Excellent communication skills 
  • Proactivity and flexibility
  • Good knowledge of Office Suite
