This role in summary

Whirlpool is looking for an Executive Assistant to support several leaders in our new in-house brand agency, Project X. Supported executives include Head of Creative, Head of Operations, Head of Production and Head of Strategy.

At the edge of the Chicago Riverwalk, Project X’s North American headquarters is located in the historic Reid Murdoch Building

Your responsibilities will include

  • Provide general administrative support, such as managing schedules, calendars and travel arrangements for executive leads.
  • Coordinate and prepare for high level internal and external meetings, presentations, teleconferences, video conferences, internal team activities and training programs, etc.
  • Coordinate with other assistants within Whirlpool corporation to help develop and drive best practices, proactively resolve issues, and create value for the team. 
  • Work closely with the facilities operations team to ensure facility communications and processes are communicated and implemented as needed.
  • Facilitate financial processes: Invoice processing and expense reporting
  • Schedule, support and facilitate onboarding sessions and processes for new employees. Work with team leads to confirm content and presentation materials.
  • Maintain a professional, organized and efficient office working with the Content X team utilizing leadership, influence and administrative knowledge.  
  • Work with critical and confidential information, requiring sensitivity to all confidential matters and handle other duties as assigned. 
  • Analyze problems, develop solutions, and compile data and recommendations to support resolution
  • Make decisions and manage requests based on knowledge of business priorities, exercising independent judgment on behalf of your supervisor.

Minimum requirements

  • High school diploma or GED
  • 5+ years of Executive Administrative Assistant experience at an advertising agency supporting senior leadership

Preferred skills and experiences

  • Advanced Google Suite and Microsoft Office Skills
  • Ability to be extremely precise and detail-oriented, but also to work quickly and provide fast turnaround
  • Judgment to identify and prioritize issues for team
  • Communication skills, both verbal and written
  • Know-how, and interpersonal skills to engage efficiently and effectively on topics of relevance with all levels of internal management and colleagues and outside collaborators, particularly Senior Leadership and Executive Admin colleagues 
  • Decision making abilities and skilled at promoting process improvement 
  • Experience working in a dynamic environment by organizing and prioritizing work proactively and managing multiple tasks simultaneously, while supporting several professionals 
  • Willingness and ability to take initiative, anticipate issues, and offer solutions  
  • Experience working independently and under pressure to meet deadlines  
  • Organizational skills and practices to consistently, reliably and independently follow through with limited supervision 
  • A positive, teamwork-oriented attitude and flexible approach. Ability to learn and adjust quickly as new needs arise
